About the position

As the Director of Living Well you will provide strategic and operational leadership to our service as a unique and trusted provider of quality counseling and member care.

Your primary responsibilities will be to develop and maintain strong professional and business operations and to lead and support our dedicated team as they seek to serve the expat community in Cambodia.

With the support of our Governing Board you will implement business plans, resolve operational issues and improve our systems and practices to ensure that we are faithfully fulfilling our core vision and proactively managing our growth.

Your role will be both advisory and hands-on as you draw from your knowledge and experience in management to strengthen our current operations and ensure our responsiveness to ongoing change. You will be approachable, flexible and enthusiastic about leading a cross cultural team.

You will be a high capacity person who is organized, and detail orientated; a great communicator, natural coach, wise decision maker and able to juggle a broad spectrum of responsibilities while living out the principles of self-care, reflection and active Christian faith as promoted by Living Well.

Duties and responsibilities

1: Strategic Leadership and Direction  

·        Lead and implement the strategic and operational plans for Living Well that will deepen our impact, address current challenges and grow our services in an effective yet sustainable way.

·        Model servant leadership and nurture an organizational culture of respectful communication and collective ownership of the vision of Living Well. 


·        Ensure internal processes facilitate communication and accountability within the team.


2: Overseeing quality and professional service development

·        In conjunction with the counselling team, design and develop mental health training and workshops to benefit the community and our member partners

·        Facilitate professional development for staff team and foster a community of learning 


3: Financial, Administration and Business Management

·        In conjunction with the Assistant Director, strengthen foundational systems for a sustainable business model and implement the agreed business strategy and development.

·        Ensure finances are effectively managed with utmost transparency and comply with organizational policies, procedures, and Government financial requirements. 


·        Develop, monitor and report annual budget plan, ensuring costs (staff, operations, and activities) are adequately budgeted. 


·        Provide regular written updates/summaries to the Governing Board regarding finances and activity and compile an annual report. 


·        Ensure internal Living Well policies and procedures are in compliance with the Cambodian business and taxation laws and maintain data activity and financial records to assist decision making.

·        Alert the Board to any urgent governance or grievance issues, or areas of concern which may affect the operations of Living Well and respond in a timely and wise manner. 


4: Representation and Advocacy

·        In conjunction with the Assistant Director, Represent Living Well in high-level meetings with Government and donor bodies as directed by the Board. 


·        Actively promote Living Well within Cambodia and the wider region through a range of social media, publications, networks and communications to increase exposure.

·        Be the key contact for existing and potential member agencies to understand their context and possible services Living Well could offer 


·        Identify and develop key relationships, ensuring regular engagement and coordination with strategic partners within the Cambodian counseling and member care fields. 


5: People Management

·        Directly manage, support and mentor all staff (Khmer and expat) 


·        Maintain strong HR processes including position descriptions, employment contracts, transparent staff benefit packages, onboarding procedure and appraisal system. 


·        Lead the recruitment of suitable clinical/pastoral/member care workers in order to meet needs within the expat community. 


6: Safety, Security and Risk Management

·        Oversee the safety and security plans for Living Well, and ensure that staff comply with policies, procedures and local laws and regulations. 


·        Ensure the optimum safety of Living Well staff, consultants, volunteers and clients.

Duties and responsibilities

Financial Oversight and Accounting

  • Track all daily income and expenses into the Living Well finance system (Quickbooks)

  • Receive payments for events and record them into the financial system

  • Liaise with Quickbooks/accounting software supplier to resolve any technical difficulties

  • Reconcile all monetary transactions on a monthly basis and report this to the Director, doing checks as required to ensure accuracy of accounting.

Invoicing and Client Follow-up

  • Create invoices in a timely fashion and receipt payments for clients and member organisations

  • Respond in a timely manner to client queries regarding payment, and reply to requests for services or availability of counsellors promptly.

  • Follow up client payments and update member organisations, families and individuals regarding Living Well payments and fees

  • Maintain complete confidentiality of all Living Well clients and in all circumstances

Financial Compliance

  • Work with our tax agent to help to enable monthly tax submissions and other matters as they arise.

  • Interface with consultant for annual financial and tax returns

  • Interface with consultant to prepare annual report for Accounting and Auditing Regulator (ACAR)

Payments and Petty Cash

  • Keep track of the cash float/petty cash in coordination with local staffPay all bills/invoices related to Living Well’s operations

  • Paying bi-monthly salaries to all Living Well employees

  • Calculate counsellor payments and transfer payment to counsellors on a monthly basis

  • Pay utility bills, internet via online banking

ADMINISTRATION ASSISTANT POSITION DESCRIPTION

Position Title: Administration Assistant, Living Well

About Living Well

Established in 2014, and based in Phnom Penh, Living Well is a Christian organisation in Cambodia that provides professional and accessible clinical counselling and wellbeing services to people of all backgrounds, enabling them to thrive personally and relationally.

Our Living Well team consists of qualified, experienced and caring professionals, who originate from a wide range of nationalities, backgrounds and life experience and provide clinical counselling services both in-person and online. 

Duties and responsibilities

1: Office Management

  • Communicate and coordinate with the Director and Living Well counsellors to ensure efficient and effective operations of the Living Well Office

  • Ensure that the Living Well Office and counselling rooms are a calm, clean and welcoming environment for clients and team members

  • Assist counsellors daily regarding room assignment and preparation for clients

  • Assist in ensuring counselling supplies and stationery levels are maintained

  • Maintain the Living Well library

  • Assist in the negotiation/renegotiation of the leases of Living Well premises

  • Maintain all client records in a confidential manner

  • Maintain all HR, financial and administrative records in an orderly and confidential manner

  • Facilitate timely repairs within the Living Well Office of facilities and equipment

  • Manage cleaners

  • Pay relevant bills/invoices related to Living Well’s operations

  • Submit weekly advertisements on ICF Infoflow and actively look for other ways to promote Living Well

  • Arrange for printing brochures and advertising materials

2: Communication with clients and members

  • Provide a warm welcome and inviting environment for Living Well clients as they wait for their appointments.

  • Take payment from any clients wishing to pay in cash and keep accurate records of payments taken

  • Respond in a timely manner to client queries regarding payment, and reply to requests for services or availability of counsellors promptly.

  • Maintain complete confidentiality of all Living Well clients and in all circumstances

  • Reply to emails and social media messages from clients

3: Organising meetings and events

  • Inform staff of team meetings, distribute agenda and zoom link

  • Organize hospitality for in-house meetings

  • Assist with the preparations of all Living Well special events, particularly regarding the venue, hospitality and setting up

  • Develop a list of attendees and maintain contact lists and follow up if necessary

  • Receive payments for events and process accordingly

4. Government liaison

  • Ensure that all Living Well documentation regarding registration is kept updated and is accordance with the laws of Cambodia

  • Submit and facilitate expatriate visa applications

  • Submit and facilitate expatriate work permits

  • Ensure that Living Well maintains clear and up to date information for submission to the Ministry of Labour, the Tax Department and any other Government entity

  • Update enterprise of business at MOC

  • Update staff movement and staff list,

  • Update profit for both MOC and MOL (online),

  • Update Labour Contract registration SICMS report and Labour Automated Central Management System (LACMS)

CLINICAL COUNSELLOR POSITION DESCRIPTION:

Position Purpose

To provide quality clinical counselling services to expatriates living and working in Cambodia 

Location: Phnom Penh

Tenure: Preferably not less than a one year commitment

Direct reports: None

Key internal relationships: Director, Office manager, Living Well volunteers and counselling staff

Key external relationships: Other counselling services within Cambodia, Living Well members and wider ex-pat community. 

Key Areas of Responsibility

Professional Clinical Counselling

  • Provide clinical counselling for individual, couple, family and group counselling sessions.

  • Build a relationship of trust and respect with clients.

  • Assess each client, identify mental well-being concerns and emotional distress.

  • Ensure a professional ethical framework is adhered to (such as BACP).

  • Identify clients needs and offer an appropriate therapeutic approach.

  • Explore with the client the effectiveness of the approach.

  • Work alongside the client to achieve their goals.

  • Maintain confidential records monitoring the client’s process.

  • Meet regularly with other colleagues for peer support and review.

  • Meet regularly (at least monthly for one and a half hours) with an external supervisor.

  • Have exemplary interpersonal and communication skills, including written and excellent verbal communication skills in English.
